Guidelines for Online presentation


The YPC event will be held on the MS teams platform. All presenting participants are recommended to install the latest version of MS team on their computer systems and access the event only from their computers. See Appendix for details of instructions for Installing MS teams (Desktop).


The event link will be sent to all selected participants to the email address that has been provided by them at the time of registration. Participants who are presenting as well as the participants who are part of the selected team can join the event link.


The event will be live streamed for the two main sessions :

  • Day 1 : Paper presentation (Oral presentation)

    • Timings : 9AM - 1PM

  • Day 2 Poster presentation (Q & A session)

    • Timings : 9AM - 1PM

Presentation Time

Oral presentation: 6-8 Minutes and Q & A session 3-5 Minutes.

Poster Presentation: 5-7 minutes and Q & A session of 3 Minutes.

The time limit will be clearly monitored and presenters are requested to adhere to it.

Guidelines for Poster Preparation

The Undergraduate research conference 2021 will accept only Electronic Posters (E-Posters) in PDF format. Printed posters or photographs of printed posters will NOT be accepted.


Poster Submission Deadline: 24 March 2021

The poster should be a clear visual presentation of your submitted full paper, should meet the following criteria:


Title of the Poster

  • It is recommended to keep the title of the poster the same as in the submitted full paper.


Poster size and format

  • Poster must be submitted in PDF format.

  • It is recommended to make your poster in PowerPoint (Portrait) and then save it as a PDF before uploading it to the website.

  • Make sure that you use the PPTX template provided by the conference committee for your E-Poster.


Your Information

  • The top of the Poster should display, in the lettering of Bold (Times New Roman), the following information: Title of your Paper, and Name(s) of the Author(s).

  • Poster should contain identification details like the name of the affiliated institution, etc.

  • Use the Font Size as prescribed in the Template.

  • Please put your Conference ID on the top right corner of the poster.


Lettering

  • Kindly use both UPPER and lower case letters for general content, as all-capital text is difficult to read. It is recommended to use Times New Roman font style for the content of the poster.

  • Make sure there is enough contrast between the colour of the text and the poster’s background.

  • Use the Font Size as prescribed in the Template.

  • Text and presentation should be in ENGLISH only.


Content of the Poster

  • Make sure that the specific sections (such as the background, methods, results, and conclusions) are easy to locate in the poster.

  • Try to keep the text easy to read and concise. The poster should have a clear message, a logical layout and be easy to comprehend.

  • Avoid the use of full sentences and rather use short text in bullet point format.

  • Avoid using watermarks that may detract from the readability of your poster.


Illustrations

  • Illustrations are the most important part of the poster and will attract the most attention. Colourful charts and graphs are the easiest to read. Explanatory illustrations should be used instead of text whenever possible.

  • Use only static images and do not embed any videos or animation in your poster.

  • Try to utilize the space on your poster as creatively as you can to attract the audience and make sure that the images are easy to understand.


Poster Presentation

Guidelines for Oral presentation

  • The Paper presentation will be held on Day 1 of the YPC event (March 26, 2021)

  • The presentation should be uploaded by selected and registered participants on the link provided on the YPC website on or before 24 March, 2021 , 11.59PM , IST. The presentations must be only in this format MS PPT compatible with versions of Windows OS 8 upwards

  • The Presentation should not contain any of the identification details. Only the name of the authors can be included.

  • The presenters will present their PPTs from their respective computer systems for the Live event. One member from each team will be granted presenting rights. This has to be communicated to the organizers while submitting the PPT.

  • All presenting members will have to ensure a stable internet connection and be able to have their cameras switched on for the audience during the live event. One faculty member from the Department of Psychology will be available to coordinate with presenting teams to set up the presentation and to handle technical issues.

  • The slots and time will be decided by the organizing committee and informed to the participants on the day of the programme. No last minute changes will be permitted with regard to the order of presentations for the smooth conduct of the event.

  • The time allotted for each presentation will be 8 minutes followed by 2-3 minutes of Question and Answer session by the judges, in which participants will defend their methodology, major findings and conclusions.

  • The following is the format for the PPT presentation

    • APA 7th edition format should be followed

    • Use a PPT presentation with a solid light colour in the background.

    • Virus scan your files before uploading them.

    • You can use any of the following fonts - Caliri, Arial and Times new roman, in the font size 24 in the body of the presentation. Ensure that the font colour is black for higher visibility.

    • Restrict use of animation, graphics, features and background apps that may take up too much bandwidth during the live presentations. The focus should be on the content and clarity of the presentation.

    • The recommended minimum number of slides is 15 and the maximum number of slides is 30 including references.

    • The main sections are Introduction, Rationale, Research Objectives and Hypotheses, Method, Results and Discussion and Conclusion.

    • The supervisor must be mentioned as the last author in the presentation.

    • All other identification details other than the authors’ names (like institution, place, logo etc) should be removed from the presentation slides.

    • Only the student authors will be allowed to present and answer the judges’ queries.

    • There is no limit to the number of presenters for the oral presentation. However it is mandatory for the first author to be part of the live presentation.

    • The decision of the judges and organizers will be final.

    • Certificates will be provided only for the student authors and an e-certificate will be emailed within one week of the conclusion of the YPC event. The cash prize for the winning team will be remitted via net banking to the corresponding author.

Guidelines for Poster presentation

  • The Poster presentation will be held on Day 2 of the YPC event (March 27, 2021).

  • The guidelines for Poster submission are given under the guidelines for the poster preparation section. Please refer to it.

  • For the Live event, poster presentations will be allotted into two groups and will be conducted in 2 concurrent live sessions.

  • There will be approximately 13 posters in each session.

  • Participants will have to upload the following

    • e-poster in PDF format

    • Virus scan your files before uploading them.

    • Participants will have to upload the e-poster on the link provided on the YPC website on or before 24 March, 2021 , 11.59PM , IST .The posters must be only in PDF formats, versions 1.7 and higher supported by Windows OS.

  • The poster of all selected teams will be sent to the judges for evaluation.

  • The live event will consist of live presentation and the Q and A session by the judges and moderated by the faculty of the Department of Psychology.

  • The time allotted for the live presentation will be 5-7 minutes & Q and A will be 3 minutes in which participants will be defending for their questions.

  • All presenting members will have to ensure stable internet connection and be able to have their cameras on for the audience during the live event.

  • The slots and time will be decided by the organizing committee and informed to the participants on the day of the programme. No last minute changes will be permitted with regard to the order of presentations for the smooth conduct of the event.

  • The guidelines for Poster submissions given on the website are to be strictly followed.

  • Certificates will be provided only for the student authors and an e-certificate will be emailed within one week of the conclusion of the YPC event.
